Executive Assistant

SEED Collective is a business consultancy designed to inspire and support the sustainability of entrepreneurs and businesses through education, research and policy, and advocacy. We own and represent a series of impactful products and services in the entrepreneurial space. We’re looking for an ambitious Executive Assistant to join our team and help advance the products, services, and clients we work with. 


This position will require exceptional organizational, relationship, and communication skills. Company specific advanced training and guidance will be provided as well as regular reviews. Ideal candidates will be experienced self-starters who enjoy meeting and exceeding key performance indicators. Ultimately, they will ensure that administrative and operational efforts parallel and promote immediate and long-term business goals.


This position is full time, with the opportunity to advance and have additional responsibilities. This position is hybrid, both in person and virtual, with the majority of time being spent virtually.


POSITION RESPONSIBILITIES

The Executive Assistant will assist with the administration of day to day business operations, with duties including, but not limited to:

  • Making and answering telephone calls professionally, answering inquiries, handle requests from callers, take messages, and arrange conference calls.
  • Provide administrative, scheduling, clerical and other support to Company attorneys and consultants, as necessary.
  • Manage schedules, make appointments, and manage reminder schedule.
  • Coordinate, arrange and manage logistics for various committee and task force meetings; record and prepare minutes of meetings; develop and ensure agendas and talking points are provided to speakers and participants; prepare other meeting materials as required.
  • Compose and prepare routine correspondence, including communications to various Boards, committees and task forces, and external partners and stakeholders. 
  • Maintain and ensure accuracy of all internal databases and files through the customer relationship management platform (CRM), including those for various communities, committees and task forces and initiatives, as well as a general database.
  • Special projects as assigned. 


POSITION QUALIFICATIONS

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily and possess the following qualifications: 

  • 3+ years experience working as an administrative or executive assistant
  • Ability to read and comprehend complex instructions, correspondence, and memos.
  • Ability to write business correspondence and to edit business correspondence, minutes of meetings, reports and other documents produced internally and externally.
  • Excellent written and verbal communication skills
  • Comfortable using, learning, and utilizing technology. Proficient understanding of widely used PC applications and productivity management systems. 
  • Experience managing multiple priorities and deadlines
  • Willingness to learn
  • Dependable and organized, with demonstrated professionalism and awareness of time-sensitive issues, attention to detail and a strong work ethic
  • Ability to work independently or as part of a team
  • Experience working with and around confidential information
  • Ability to deal with problems ranging from those involving a few concrete variables in standardized situations to unique or unfamiliar situations.
  • Ability to prioritize multiple projects.
  • Must be able to quickly comprehend and apply new skills and information.

Program Associate

SEED Collective is a business consultancy designed to inspire and support the sustainability of entrepreneurs and businesses through education, research and policy, and advocacy. We’re looking for an ambitious Program Associate to join our team and help deliver high-quality and consistent support to our business program participants.


This position will require a high level of organization, active and ongoing communication and consistent follow through. The Project Associate will serve as the point of contact and lead organizer for at least two business programs.  The Associate will assist with recruiting clients, customizing program design to client needs, and management of the full program process, from onboarding to graduation. Company specific advanced training and guidance will be provided as well as regular reviews. Ideal candidates will be experienced self-starters who enjoy meeting and exceeding key performance indicators. Ultimately, they will ensure that SEED Collective program offerings and delivery parallel and promote immediate and long-term business goals.

POSITION RESPONSIBILITIES

The Program Associate will assist with the administration of business programs, with duties including, but not limited to:

  • Assistance researching and launching business programs and initiatives 
  • Support with consulting and coaching support to executive clients
  • Effective program support and management, from recruitment and onboarding through graduation. 
  • Assistance in the coordination of venues, food service, speakers and facilitators, and delivery
  • Attendance and participation in program activities 
  • Assistance coordinating event sponsorship and donor recognition 
  • Coordinate with management and marketing teams to enhance sales presentation and development of sales assets (as needed);
  • Maintain a client and project database, including data entry and documentation 
  • Provide exemplary client interaction through written and verbal communication and listening skills
  • Own and hit/exceed annual program goals and targets;
  • Build and maintain strong, long-lasting client and partner relationships;
  • Partner with clients to understand their business needs and objectives


POSITION QUALIFICATIONS

The ideal candidate for this position will possess the following qualifications:

  • 3+ years of program management and event planning experience
  • Experience supporting and managing training programs 
  • Excellent written and verbal communication skills
  • Experience working with business owners and entrepreneurs
  • Ability to take direction and constructive feedback
  • Dependable and organized, with demonstrated professionalism and awareness of time-sensitive issues, attention to detail and a strong work ethic
  • Experience managing multiple priorities and deadlines
  • Proficient understanding of widely used PC applications including Microsoft Office Suite

  • Ability to work weekends and evenings based on program or event schedule

POSITION QUALIFICATIONS

The ideal candidate for this position will possess the following qualifications:

  • Bachelor’s degree required, relevant Master’s degree preferred
  • Executive client-facing sales experience
  • 5+ years of relevant experience of sales management 
  • 5+ years of relevant experience in the consulting industry
  • Demonstrated performance of meeting or exceeding targets
  • Proven ability to drive the sales process from plan to close
